Key Responsibilities

As a Virtual Assistant for Dispatch Support, you'll be responsible for:

  • Providing timely updates to customers via phone, email, or other communication channels
  • Coordinating dispatch schedules to ensure smooth and efficient operations
  • Ensuring seamless communication between teams, including dispatch, customer service, and operations
  • Managing multiple schedules and priorities to meet deadlines and deliver exceptional results
  • Maintaining accurate records and reports to track progress and identify areas for improvement
  • Collaborating with cross-functional teams to resolve customer issues and concerns
  • Staying up-to-date with industry trends and best practices to continuously improve our services

Essential Qualifications

To succeed in this role, you'll need:

  • 1-2 years of experience in a similar role, preferably in a customer-facing or dispatch support environment
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with customers and colleagues
  • Proven ability to manage multiple schedules and priorities, with a focus on delivering exceptional results
  • Strong organizational and time management skills, with attention to detail and a commitment to accuracy
  • Ability to work independently and as part of a team, with a flexible and adaptable approach to changing priorities
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook
  • Familiarity with customer relationship management (CRM) software and other dispatch support tools

Preferred Qualifications

While not essential, the following qualifications would be a plus:

  • Experience working in a fast-paced, dynamic environment with multiple priorities and deadlines
  • Familiarity with arenaflex's products and services, or a strong understanding of the industry and its trends
  • Certification in customer service, dispatch support, or a related field
  • Experience with project management software and tools, such as Asana or Trello
  • Fluency in multiple languages, with the ability to communicate effectively with customers from diverse backgrounds
