Job Summary UPWORK is seeking a detail-oriented, proactive, and highly organized Executive Assistant - Back Office Support to provide comprehensive administrative and operational assistance to our leadership team. The role involves handling back-office tasks, managing schedules, preparing reports, coordinating with internal teams, and ensuring smooth day-to-day operations for executives working across different time zones.

Key Responsibilities

  • * Provide executive-level administrative support, including calendar management, travel coordination, and meeting scheduling.
  • * Handle confidential information with discretion and maintain accurate records of business documents.
  • * Assist in preparing business reports, presentations, and internal communications.
  • * Manage correspondence, emails, and follow-ups to ensure timely responses and completion of tasks.
  • * Support back-office functions such as data entry, document organization, and workflow coordination.
  • * Track project progress, update records, and assist in report generation for management review.
  • * Coordinate with different departments to facilitate information flow and operational efficiency.
  • * Assist in financial and procurement tasks such as invoice processing, vendor follow-ups, and expense tracking.
  • * Provide general administrative and organizational support to ensure the smooth running of daily operations.
  • Required Skills and Qualifications
  • * Bachelors degree in Business Administration, Management, or a related field.
  • * Proven experience as an Executive Assistant, Administrative Assistant, or Back Office Support professional (remote experience preferred).
  • * Excellent written and verbal communication skills in English.
  • * Strong organizational and time-management abilities with a keen eye for detail.
  • * Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace tools.
  • * Ability to manage multiple tasks simultaneously and prioritize work effectively.
  • * High level of professionalism, confidentiality, and integrity.
  • Experience
  • * Minimum 2–4 years of experience in executive or administrative support roles.
  • * Previous experience in remote work settings or within multinational organizations is a plus.
  • * Experience working across time zones and supporting international teams is desirable.
