Key Responsibilities

  • Coordinate and maintain meeting schedules, travel itineraries, and accommodation arrangements for staff and leadership.
  • Process invoices, expense reports, and purchase orders using InvoiceWorks and ensure timely distribution to the appropriate parties.
  • Provide front‑line support for office technology, troubleshooting phone systems, copier issues, and other equipment.
  • Track onboarding activities for new hires, including system access, badge issuance, background checks, and training documentation.
  • Assist with event planning for station celebrations, team lunches, recognition ceremonies, and other employee engagement initiatives.
  • Maintain accurate employee records, ensuring compliance with OSHA, safety, and regulatory requirements.
  • Support payroll and time‑keeping functions in Workbrain, including data entry, verification, and reporting.
  • Generate and distribute regular reports on performance metrics, cost analysis, and compliance status.
  • Update procedural manuals, policy documents, and safety files to reflect current standards.
  • Collaborate with finance, facilities, and vendor partners to monitor project progress and resolve outstanding issues.
  • Perform ad‑hoc duties as needed, demonstrating flexibility and a willingness to take on new challenges.

Essential Qualifications

  • Bachelor’s degree from an accredited institution or equivalent professional experience.
  • Minimum 2 years of office or administrative experience, preferably in a fast‑moving, remote environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with data‑entry platforms.
  • Strong organizational skills with the ability to prioritize multiple tasks and meet strict deadlines.
