Position Overview

The Remote Customer Care Specialist at arenaflex serves as a vital point of contact for members seeking assistance with their pharmacy benefits, prescription status inquiries, and healthcare-related questions. Working from a dedicated home office, you will handle inbound and outbound calls, guide members through complex benefit information, and ensure that every interaction is handled with professionalism, empathy, and accuracy.

This role operates on a schedule of 35–40 hours per week, Sunday through Sunday, with the flexibility to work any of our 8-hour shift schedules during typical business hours of 5:00 am to 10:00 pm local time. Standard training runs Monday through Friday, 8:00 am to 5:00 pm CST for 4–5 weeks, and occasional overtime may be required based on business needs.

Key Responsibilities

As a Remote Customer Care Specialist at arenaflex, your day-to-day responsibilities will include, but are not limited to:

  • Responding to Inbound Calls: Answer incoming calls from members regarding benefit eligibility questions, prescription status updates, and general account inquiries in a courteous and timely manner.
  • Member Education and Guidance: Clearly explain and educate members on their prescription benefits, plan usage, formulary details, fees, order status, claims processing, and related topics to empower informed decision-making.
  • Active Listening and Documentation: Ask appropriate probing questions, listen attentively, and accurately document all required information in our computer systems and CRM platforms.
  • Problem Resolution: Identify member issues, research solutions across multiple databases, and communicate resolutions and next steps to consumers, pharmacies, and physicians regarding prescription orders and refills.
  • Outbound Communication: Make proactive outbound calls to members regarding prescription orders, remittance concerns, and follow-up needs.
  • Multi-System Navigation: Seamlessly toggle between multiple databases and platforms while maintaining confident, compassionate engagement with members.
  • Performance Excellence: Meet and exceed key performance indicators (KPIs) related to call quality, resolution rates, and member satisfaction scores.
  • Compliance and Confidentiality: Adhere to all HIPAA regulations, company policies, and data security protocols when handling sensitive member information.

Required Qualifications

To be successful in this role, candidates must possess the following:

  • Education: High School Diploma or GED (or higher), OR equivalent work experience in a related field.
  • Customer Service Experience: A minimum of 1 year of customer service experience, including providing service over the phone in a professional setting.
  • Technical Proficiency: Demonstrated experience with PC and Windows-based applications, including the ability to navigate and learn new and complex computer systems quickly.
  • Microsoft Office Skills: Basic understanding of Microsoft Word (ability to open and navigate documents) and Microsoft Excel (ability to open and navigate spreadsheets).
  • Schedule Flexibility: Ability to work any of our 8-hour shift schedules during business hours of Sunday through Sunday, 5:00 am to 11:00 pm local time in Pacific Time or Mountain Time, depending on your location.
  • Work Authorization: Must be legally authorized to work in the United States and reside in a state where arenaflex is approved to hire.

Preferred Qualifications

While not required, the following qualifications will help you stand out as an applicant:

  • Prior call center or contact center experience.
  • Additional customer service experience in a high-volume environment.
  • Experience with Adult Learning principles in a digital or virtual environment.
  • Experience working with digital platforms and systems including web, chat, and email support.
  • Background in healthcare or insurance environments, with familiarity in medical terminology, health plan documents, or benefit program structures.
  • Experience in community service, behavioral health, disease prevention, health promotion, or behavior change, particularly working with vulnerable populations.

Telecommuting Requirements

To succeed in this remote role, you must have the following home office setup:

  • A dedicated workspace that is separated from other living areas and provides adequate data privacy for handling sensitive information.
  • The ability to secure all company-sensitive documents in your home environment.
  • Residence in a location that can receive an arenaflex-approved high-speed internet connection or access to an existing reliable high-speed internet service.
  • The ability to connect directly to the internet via hardwire (either directly to the modem or router). Wireless connections are not permitted for this role due to security requirements.
  • A quiet, distraction-free environment suitable for handling frequent phone-based customer interactions.
