About the Role

As a Healthcare Customer Care Advisor on our Special Needs team, you will serve as a trusted advocate and ongoing point of contact for members and their families who are managing a wide range of special needs situations. Whether you are supporting a parent caring for a child with a developmental disability, an adult navigating a complex medical condition, or a family member seeking guidance through a challenging healthcare transition, your role will be central to delivering an exceptional, memorable experience during some of life's most difficult moments.

Our advisors are empowered to take ownership of member issues from start to finish, fast-tracking resolutions and serving as a consistent resource throughout each family's journey. You will primarily engage with members via telephone, but you may also communicate through email, chat, and text — whichever channel best serves the family in the moment.

Key Responsibilities

  • Holistic Family Support: Provide comprehensive, wraparound support to members who have special needs themselves or who are caring for children or family members with special needs. Own the end-to-end resolution of all issues presented, ensuring no concern goes unaddressed.
  • Ongoing Relationship Building: Serve as the primary point of contact for assigned members, creating and nurturing long-term relationships built on trust, empathy, and reliability. Engage with members primarily through phone, with additional communication via email, chat, and text as needed.
  • Independent Problem Solving: Make decisions independently, solve problems creatively, and apply sound judgment and critical thinking to resolve complex issues. Think outside the box and develop innovative solutions that exceed member expectations.
  • Commitment Follow-Through: Consistently honor commitments, set realistic expectations with members, and ensure that all promises made are promises kept.
  • Project and Time Management: Plan, prioritize, organize, and complete work to meet established objectives. Manage outreach and follow-up tasks to ensure timely completion of all member-related activities.
  • Diverse Case Management: Work with families across a spectrum of needs, including low, moderate, and high-intensity cases as determined by clinical complexity, financial impact, and level of escalation. Initiate outreach calls to members referred by executives and strategic partners.
  • Accurate Documentation: Maintain precise family counts and detailed records on arenaflex's documentation platform, ensuring data integrity across all member interactions.
  • Team Collaboration: Foster a strong, supportive team environment through mentoring, knowledge sharing, and serving as a resource for colleagues.
  • Proactive Resource Identification: Anticipate member needs and proactively seek out external community resources and internal programs that add unexpected value to the member experience.
  • Referral Coordination: Determine appropriate referrals to other programs and services, with or without technology guidance, ensuring members are connected to the full spectrum of available support.
  • Quality Member Experience: Deliver consistently high-quality service as reflected in post-contact surveys and member feedback, striving to create positive, memorable interactions at every touchpoint.

Required Qualifications

  • High School Diploma / GED OR equivalent work experience
  • A minimum of one year of experience helping, resolving, or advocating on behalf of members or customers
  • Proficiency using a computer and Microsoft Office applications, including Microsoft Word (creating correspondence and working within templates), Microsoft Excel (sorting, filtering, and creating simple spreadsheets), and Microsoft Outlook (email and calendar management)
  • Ability to work 40 hours per week, Monday through Friday, from 9:45am to 6:15pm CST
  • Willingness to work occasional overtime based on business needs
  • Must be 18 years of age or older

Preferred Qualifications

  • One year of A4Me experience or three months of Quick Assist experience
  • Claims processing experience
  • Experience providing care for children with special needs
  • Experience within a member-focused healthcare environment
  • Experience within a service delivery capacity, such as social services, caregiving, hospitality, social work, sales, or non-profit agencies

Training and Schedule

This position is full-time, requiring 40 hours per week, Monday through Friday, from 9:45am to 6:15pm CST. We believe in setting our team members up for success from day one, which is why we offer an extensive 18 weeks of paid training. During the initial portion of training, hours will be 8:00am to 4:30pm CST, with a ramp-up to the standard schedule of 9:45am to 6:15pm CST during the final four weeks of training. Occasional overtime may be required based on business needs.

Telecommuting Requirements

As a national remote position, you will enjoy the flexibility to work from anywhere within the United States. To ensure the security of sensitive company information, all telecommuters must:

  • Keep all company-sensitive documents secure
  • Establish a dedicated work area that is separated from other living areas and provides information privacy
  • Live in a location that can receive an arenaflex-approved high-speed internet connection or leverage an existing high-speed internet service

Compensation and Benefits

For candidates residing in California, Colorado, Connecticut, Nevada, New York, New Jersey, Washington, or Rhode Island, the hourly range is $18.80 to $36.78 per hour. Pay is based on several factors, including but not limited to education, work experience, and certifications.
