About the Role: What You'll Do as a Global Equity Plan Administration Consultant

As a key member of our Global Equity Operations team, you will play an instrumental role in administering equity-based compensation programs that reward and retain top talent across arenaflex's international workforce. Your work will directly impact the financial well-being of employees, the accuracy of corporate reporting, and the seamless execution of incentive plans that drive organizational success.

Equity plan administration is a specialized field that blends finance, human resources, accounting, and customer service. In this role, you will develop deep expertise in stock options, Restricted Stock Units (RSUs), Performance Share Units (PSUs), and employee stock purchase plans (ESPPs). If you enjoy working with numbers, solving complex problems, and interacting with diverse stakeholders, this position is designed for you.

Key Responsibilities and Daily Impact

  • Proactive Data Audits and Compliance Monitoring: Conduct comprehensive daily, weekly, and monthly audits of equity transactions to ensure strict operational compliance with long-term incentive plans and stock purchase plan guidelines. Your attention to detail will safeguard the integrity of our equity programs.
  • Award Processing and Settlement: Manage the end-to-end processing of Performance Share Unit (PSU) releases, Restricted Stock Unit (RSU) vesting events, and employee stock purchase plan matching share distributions. Accuracy and timeliness are paramount in every transaction.
  • Transaction Review and Reconciliation: Carefully review all equity transaction activity, including stock option exercises, RSU and PSU releases, and stock purchase plan enrollments. You will verify that all purchases, releases, settlements, and reporting activities are accurate and completed within established timelines.
  • Stakeholder Communication and Support: Serve as a primary point of contact for employee inquiries, third-party plan administrators, payroll partners, tax authorities, and internal stakeholders. You will research, track, and respond to questions with professionalism and efficiency, ensuring a positive experience for all participants.
  • Award Grant and Enrollment Support: Assist with the administration of equity-based long-term incentive award grant processes, including new hire grants, annual refresh awards, and stock purchase plan enrollment windows.
  • Ad-Hoc Reporting and Data Analytics: Generate customized reports, analytics, and data extracts to support ongoing operations, leadership decision-making, audit requirements, and special projects. Proficiency in Excel and data visualization tools will be valuable.
  • Policy and Procedure Maintenance: Review, update, and maintain equity plan administration procedures, process documentation, and internal controls to ensure consistency, accuracy, and regulatory compliance across global operations.
  • Additional Equity Plan Tasks: Perform other equity plan management responsibilities as assigned, including special projects, system implementations, and process improvement initiatives.

Educational Background

  • Minimum Requirement: Bachelor's Degree in Finance, Accounting, Business Administration, Human Resources, Economics, or a related field—or equivalent professional work experience that demonstrates comparable competency.
  • Additional certifications such as CEP (Certified Equity Professional) are a plus but not required at the entry level.

Professional Experience

  • Preferred: At least 1 year of experience in stock plan administration, payroll operations, tax compliance, accounting, or a closely related field.
  • Preferred: Hands-on experience with various stock plan products, including stock options, Performance Share Units (PSUs), Restricted Stock Units (RSUs), and employee stock purchase plans (ESPPs).
  • Entry-Level Welcome: Candidates with strong foundational skills and a demonstrated ability to learn quickly are encouraged to apply, even without direct equity administration experience.

Technical and Functional Competencies

  • Learning Agility: Demonstrated ability to quickly master new tools, systems, processes, and regulatory requirements.
  • HRIS Knowledge: Familiarity with Human Resource Information Systems (HRIS), particularly Workday, is highly preferred. Understanding of data flows, integrations, and inter-system relationships is essential.
  • Analytical Thinking: Ability to analyze complex datasets, identify discrepancies, and convert findings into clear, actionable recommendations for management and stakeholders.
