Join a team that values collaboration, integrity, and the relentless pursuit of excellence—no matter where you call home.

Position Overview

The Provider Data Services Senior Coordinator is a pivotal role within arenaflex’s Provider Data Services (PDS) team. Working remotely on a part‑time schedule, you will lead the review, maintenance, and enhancement of provider data, resolve complex contractual reimbursement issues, and partner with internal and external stakeholders to drive data quality and operational efficiency. This role is ideal for a detail‑oriented professional with a proven track record in data management, strong interpersonal skills, and a passion for delivering exceptional customer service.

Key Responsibilities

  • Data Review & Issue Escalation: Conduct thorough reviews of provider data, identify discrepancies, and raise issues to the appropriate resolution teams in a timely manner.
  • Contractual Reimbursement Management: Oversee and resolve external contracted reimbursement problems, ensuring they are routed to the correct systems and resolved according to policy.
  • Data Entry & Cleanup: Provide functional support for data entry and cleansing activities, handling both routine and complex data exchanges.
  • Advanced Data Operations: Execute more sophisticated data exchanges and maintenance tasks related to new product launches, system upgrades, and process improvements.
  • Cross‑Functional Collaboration: Partner with multiple departments—including Provider Relations, Claims, IT, and Compliance—to guarantee high‑quality provider data for our members.
  • Provider Segment & Contract Updates: Maintain and update provider segment and contract information, including sensitive or high‑volume exchanges, within the appropriate systems.
  • Process Improvement Initiatives: Identify, investigate, and drive root‑cause analyses (e.g., provider issues flagged by PST, trends from routine PDS reviews) and collaborate across the organization to recommend enhancements.
  • Project Support: Assist with the implementation of new initiatives and complex regulatory processes, ensuring data integrity throughout the project lifecycle.
  • Stakeholder Communication: Deliver clear, concise written and verbal communications to internal and external partners, documenting findings, resolutions, and recommendations.
  • Performance Metrics: Track and report on key performance indicators (KPIs) such as data accuracy rates, issue resolution times, and service level adherence.

Essential Qualifications

  • 1–2 years of experience working with provider‑related data, preferably in a health‑care or insurance environment.
  • Proficiency with Microsoft Office Suite, especially Excel (advanced formulas, pivot tables, and data manipulation).
  • Hands‑on experience maintaining provider data within large‑scale information systems.
  • Previous experience in a production or operational environment where accuracy and timeliness are critical.
  • High school diploma or equivalent; additional education or certifications in health‑care administration, data analytics, or related fields is a plus.

Preferred Qualifications & Skills

  • Familiarity with CPB (Contracted Provider Billing) or EPDB (Electronic Provider Data Base) systems.
  • Strong verbal and written communication abilities, with a demonstrated capacity to convey technical information to non‑technical audiences.
  • Ability to manage multiple priorities in a fast‑paced, remote work setting while maintaining high quality standards.
  • Proven track record of teamwork—collaborating effectively with cross‑functional groups to meet or exceed objectives.
  • Experience drafting clear, concise documentation, including emails, reports, and procedural guides.
  • Demonstrated analytical mindset with a focus on root‑cause analysis and continuous improvement.

Core Competencies for Success

  • Attention to Detail: Meticulous data verification and error detection to ensure provider information is accurate and reliable.
  • Problem‑Solving: Ability to diagnose complex data issues, develop actionable solutions, and implement corrective measures.
  • Customer‑Centric Mindset: Commitment to delivering outstanding service to both internal partners and external providers.
  • Collaboration: Strong teamwork orientation, fostering positive relationships across departments and with external vendors.
  • Adaptability: Comfort with evolving processes, new technology rollouts, and shifting priorities in a remote environment.
  • Time Management: Efficiently balance multiple tasks, meet deadlines, and maintain productivity while working from home.
