Why This Role Matters

As a Medical Billing Customer Experience Team Lead, you will be the linchpin that connects patients, providers, and payers. You will lead a team of specialists who manage denial resolution, pre‑registration, authorizations, and patient financial communications. Your work directly influences cash flow, patient satisfaction, and the overall efficiency of the revenue cycle management (RCM) process. This is a 100 % remote position, giving you the flexibility to work from anywhere while contributing to a mission‑driven organization.

Key Responsibilities

  • Team Leadership & Development: Coach, mentor, and evaluate a team of denial management and pre‑registration specialists, ensuring high performance, adherence to best practices, and continuous skill growth.
  • Denial Management: Oversee end‑to‑end denial resolution, including claim correction, appeal preparation, and follow‑up with insurance carriers to secure timely re‑processing and payment.
  • Pre‑Registration & Authorization: Direct the team in obtaining accurate patient eligibility, authorizations, and pre‑certifications, reducing claim rejections and improving first‑pass acceptance rates.
  • Patient Financial Communication: Guide the team in delivering compassionate, clear, and accurate financial information to patients, addressing inquiries, payment plans, and billing concerns.
  • Collaboration with Internal Stakeholders: Partner with clinical, finance, and IT departments to resolve complex billing issues, streamline workflows, and implement system enhancements.
  • Data Analysis & Reporting: Utilize arenaflex’s analytics platforms to monitor key performance indicators (KPIs), generate actionable insights, and present findings to senior leadership.
  • Process Improvement: Identify bottlenecks, propose automation opportunities, and champion continuous improvement initiatives that elevate efficiency and accuracy.
  • Compliance & Ethics: Ensure all billing activities comply with HIPAA, payer contracts, and regulatory standards while maintaining the highest ethical standards.
  • Technology Utilization: Leverage EPIC and other arenaflex‑approved software tools to manage claims, track denials, and maintain accurate patient records.
  • Customer Service Excellence: Model and enforce superior service standards, ensuring every interaction with patients and insurance representatives reflects arenaflex’s commitment to care.

Essential Qualifications

  • Bachelor’s degree or equivalent experience in healthcare administration, business, or a related field.
  • Minimum of 4 years of hands‑on experience in denial management, AR collection, pre‑registration, or authorization within the U.S. healthcare system.
  • Proven track record of leading or supervising a team in a fast‑paced, remote environment.
  • Strong familiarity with EPIC or comparable electronic health record (EHR) systems; EPIC experience is highly preferred.
  • Deep understanding of payer reimbursement models (government, commercial, Medicare, Medicaid) and the nuances of medical billing terminology.
  • Exceptional oral and written communication skills, with the ability to negotiate and influence payers and internal stakeholders.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and comfort navigating web‑based billing platforms.
  • Demonstrated ability to work independently, prioritize tasks, meet deadlines, and maintain a high level of accuracy.
  • Ethical integrity, professionalism, and a courteous demeanor when interacting with patients and partners.
  • Typing speed of at least 40 wpm with strong data‑entry accuracy.

Preferred Qualifications & Skills

  • Certification such as Certified Professional Biller (CPB) or Certified Revenue Cycle Specialist (CRCS).
  • Experience with advanced analytics tools (e.g., Power BI, Tableau) to drive data‑centric decision making.
  • Knowledge of healthcare compliance frameworks (HIPAA, HITECH, OIG guidelines).
  • Previous experience in a fully remote, distributed team setting.
  • Fluency in a second language, enhancing communication with diverse patient populations.
  • Project management experience, especially in process redesign or technology implementation.
