Why an Assistant Director of Collegiate Experience with AOII: As the Assistant Director of Collegiate Experience (ADCE) with AOII, you will be a key member of the Collegiate Experience team. This is done through providing a customer-centric focus to assigned chapters, networks teams, assigned volunteers and chapter leadership ensuring stakeholder’s needs are being met. The primary focuses for the ADCE is to oversee and ensure the advancement of assigned chapters’ functionality and success, including the development of thriving chapters from chartering through a period of development of no less than three years and up to five years, or until transition to Network support is planned. Reports to: Associate Director of Collegiate Experience Direct Supervisor responsibilities to: No supervisor responsibilities Partners with: Assigned Network Directors and Network Team Members Essential Duties or Functions: Provides customer service, education, and support to collegiate chapter officers and members, chapter advisors, International Headquarters staff, international volunteers, Executive Board, and other key stakeholders as necessary Works as a member of the Collegiate Experience team to identify Fraternity trends, assess Fraternity needs, and develop action plans in accordance with the Fraternity’s Ends Analyzes chapter data in the areas of recruitment, retention, academics, and involvement to strategically advance chapter health Uses AOII’s Inspire Chapter Performance Program as strategy for achievement of chapter success and development with a goal of helping each chapter improve their overall score year over year Partners with assigned network teams to collaborate with and support assigned chapters, through the implementation of chapter action plans based on reports from traveling staff members or volunteers, AOII Ends, etc. Collaborates with network team to determine terms and expectations as well as document progress for chapters placed on International Monitoring or International Probation Collaborates with HQ Growth and Development team to ensure smooth transition from pre-chartering research, outreach, and volunteer development to New Chapter Development period post-chartering Collaborates with Properties Department when applicable on house building information communication, outreach, and developing appropriate housing policies for chapters. Works with collegiate chapters in submitting all appropriate forms and fees Manages issues and incidents according to Alpha Omicron Pi’s Crisis Management Procedures Assists with editing documents specifically used by the Collegiate Experience Department, including the Inspire Chapter Performance Program and other standardized paperwork or procedures Supervises annual budgets in cooperation with Network Director for assigned networks Collaborates with NPC Delegation on College Panhellenic issues, college/university recognition statements, and expectation documents Oversees and ensures, along with ND, that all Network Specialist are trained and have a clear understanding of their expectations Develops new trainings in collaboration with Education, Training and Events Department and assist in identifying volunteer and Fraternity training needs Partners with the Alpha Omicron Foundation to identify candidates for scholarships to various leadership training opportunities Responds timely to the multiple inquiries from the Executive Board, Network Directors, Network Specialists, CCAB members, and collegiate members as appropriate Ensures open communication with all areas of the Fraternity, Foundation, and Properties Communicates regularly with assigned university officials and Fraternity/Sorority Advisors Communicates through planned conference calls with Network Director as determined by ND and ADCE Reviews and provides feedback on chapters’ reports and operational plans Reports to supervisor all serious chapter concerns within 24 hours of occurrence Collaborates with Network Director to deploy Network Specialists for chapter visits Engages in regular and periodic communications regarding overall and specific customer service, chapter assessment, and chapter performance to the Executive Board, Executive Director, and other International Headquarters staff Assistant Director of Collegiate Experience must be able to Demonstrate: Active listening and problem-solving skills Strong interpersonal skills, including the ability to easily engage others in positive dialogue one-on-one or in a group setting, and at many different levels A high-level of emotional intelligence Ability to think and act independently and the ability to work individually or as a member of a team Skills at prioritizing duties, working under time constraints, handling multiple tasks, and working independently while remaining flexible to changing priorities and assignments A customer-centric focus, by providing efficient and courteous services to all AOII stakeholders as well as internal partners Skills at facilitating trainings, meetings and/or conference calls Skills at effectively communicating critical information Ability to maintain confidentiality Experience working with or in a volunteer organization Required Qualifications: Bachelor’s degree Ability to effectively read, write, and speak the English language Physical mobility and dexterity to transport files and operate general office equipment (telephone, fax, copier, computer, etc.) Experience in the Microsoft Office Suite (Word, Excel, PowerPoint and Outlook) Must be able to work evening and weekend functions as necessary Must be willing and able to travel Membership in a Fraternity/Sorority preferred Three years of relevant experience preferred Working Conditions: Office setting based in Brentwood, TN, remote work capable Prolonged periods of sitting at a desk working on the computer Must be able to lift up-to 15 pounds at times Salary Range: $47,000 - $58,500 Other Duties: The job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee.
