The Opportunity

arenaflex is seeking a highly capable Senior Administrator to join our dedicated and dynamic remote team. This is not a junior data entry position; it is a senior, multi-disciplinary role that blends accounts administration, bookkeeping, CRM stewardship, and end-to-end order processing. You will be the operational backbone of a mission-driven organisation, ensuring that the financial, administrative, and customer relationship machinery runs with quiet, dependable precision.

This role is crucial to the smooth functioning of arenaflex. We are looking for someone who values accuracy, can maintain a steady and productive pace, and upholds the highest standards of data integrity — even when deadlines are tight and competing priorities demand your attention. The ideal candidate is equally comfortable reconciling a ledger, updating a CRM record, processing a school order, and liaising professionally with stakeholders over email or phone.

Key Responsibilities

Bookkeeping & Financial Administration

  • Manage day-to-day bookkeeping activities using Xero, including accounts payable, accounts receivable, bank reconciliations, and general ledger maintenance.
  • Process payroll administration with accuracy and compliance, ensuring all employee records, superannuation contributions, and pay cycles are correctly recorded.
  • Prepare and review financial data, reports, and summaries for internal stakeholders as required.
  • Maintain organised digital financial records and ensure documentation is audit-ready at all times.

Data Entry & CRM Management

  • Input, update, and maintain accurate records in our CRM (Salesforce or HubSpot) based on information received from schools, educators, and other stakeholders.
  • Perform high-volume, high-accuracy data entry with an unwavering commitment to detail and consistency.
  • Identify and correct data discrepancies proactively, flagging any anomalies to the relevant team member.
  • Support continuous improvement of data management workflows and contribute ideas to streamline processes.

Order Processing & Operational Support

  • Process incoming orders in a timely manner, cross-checking every detail for accuracy before fulfilment.
  • Coordinate with internal teams to ensure orders are dispatched, tracked, and delivered on schedule.
  • Liaise with schools and customers to confirm order specifications, resolve queries, and provide professional service throughout the order lifecycle.
  • Monitor order pipelines and proactively communicate any potential delays or issues.

Document Management & Administrative Support

  • Assist in the management, storage, and retrieval of essential business documents, ensuring version control and accessibility for relevant team members.
  • Maintain organised digital filing structures across cloud-based platforms including Google Workspace, Dropbox, Office 365, and Microsoft Teams.
  • Provide general administrative support to leadership and cross-functional teams as required.

Communication & Stakeholder Engagement

  • Communicate effectively and professionally over email and telephone with schools, suppliers, internal stakeholders, and customers.
  • Respond to enquiries in a timely, courteous, and solution-oriented manner, upholding the arenaflex standard of service.
  • Build and nurture long-term relationships with school partners and other key contacts across Australia.

Essential Qualifications & Experience

  • A minimum of 5 years of experience in a similar senior administration, accounts, or operations role.
  • Advanced bookkeeping skills with demonstrated experience using financial software (Xero preferred; SAP, MYOB, or comparable platforms are also acceptable).
  • Advanced proficiency in Microsoft Office Suite, with particular strength in Word, Excel, and Outlook.
  • Demonstrated experience managing multiple tasks within a deadline-driven environment.
  • Proven ability to communicate effectively over email and telephone with a wide range of stakeholders.
  • Demonstrated ability to achieve targets, work autonomously, and manage your own priorities with minimal supervision.
  • Strong problem-solving skills with the capacity to work through challenges independently.
  • Solid working knowledge of cloud-based technologies including Google Workspace, Dropbox, Office 365, and Microsoft Teams.
  • Previous experience with CRM software such as Salesforce or HubSpot.

Preferred (But Not Essential) Experience

  • Logistics, supply chain, or print industry experience is a massive plus.
  • Familiarity with design software or the print production process.
  • Exposure to the education sector or experience working with schools and educators.
  • Formal bookkeeping or accounting qualifications (Certificate IV in Bookkeeping or equivalent).

Technical & Home Office Requirements

  • You must own a modern computer (Intel i5 or i7 processor, minimum 8GB RAM, and at least 1TB of free disk space) — please do not apply without meeting this baseline.
  • Dual monitors are required for this role to ensure efficient multitasking and data accuracy.
  • A reliable, high-speed internet connection suitable for remote work, video calls, and cloud-based collaboration.
  • A quiet, dedicated home office space free from distractions during agreed working hours.

Language & Communication

Near-native English proficiency is required — both written and verbal. You will be communicating daily with schools, suppliers, and team members across Australia, and your ability to express ideas clearly, professionally, and empathetically is essential to the role.
